  • Performs clerical office duties such as document processing, report preparation, and data retrieval and filing
  • Coordinates meetings, travel, and ordering supplies
  • Researches or resolves discrepancies following prescribed procedures; updates and maintains process documentation
  • Responds to standard inquiries from internal and external customers
  • Drafts and types standard letters and memoranda from specific instructions and prepares documents for distribution
  • Maintains and updates established web sites with the assistance of basic web publishing software applications
  • Prepares and maintains documentation of department processes
  • Schedules meetings, coordinates travel arrangements, and maintain appointment calendars on behalf of department managers or supervisors; may coordinate meeting amenities (i.e. refreshments, etc.)
  • Updates and maintains databases, systems applications, files and/or spreadsheets to ensure accurate and current information is available for use by others
  • Files documents in accordance with defined procedures for on-site storage as well as long-term archiving
  • Receives and refers visitors and telephone callers within the department
  • Processes and distributes incoming and outgoing mail, interoffice messages, faxes, and voicemail messages throughout the department
  • Supports, processes and maintains all Part Numbers through Part Number Management system
  • Provide support by maintaining accurate recordkeeping for material and part number information.
  • Process part number (add/change requests)
  • Assist in processing and monitoring of MCOs (material change orders) and PCNs (manufacturers part change notices) for purchased components
  • Reporting of manufacturers end of life notification to key team members
  • Provide notification to requestor, quote team, and supply management for new part numbers
  • Work with Engineering, Supply Management, and Suppliers on product specifications to ensure a high level of data integrity with supporting documentation for each part number
  • Support gathering industry standard qualification and certification data for new parts



  • Strong written and oral communication skills
  • Good computer skills
  • Must possess strong listening and analytical skills
  • Demonstrated proficiency with Microsoft Office
  • High level of accuracy and detail oriented
  • Knowledge of ERP systems
  • Ability to work independently, self-starter and organized individual
  • Strong communication skills
