> Receive, code, process invoices, purchase orders, expense reports and other expenses occurred to ensure accurate and timely payments.
> Receive expense data from various sources, code expenses to the correct general ledger account and process for payment.
> Verify accuracy of expense data received, research or request additional documentation and authorizations if necessary before inputting data into the computerized accounting database.
> Gather, organize and process all necessary information or documents to process check batches.
> Access computerized financial information to answer simple to complex questions and/or research specific questions such as invoice details and payment history. Converse with vendors to resolve issues with monthly statements.
> Copy and scan records of invoices, expense reports, supporting documents and other documents used for payment processing. File accounting records in a computerized format and standard filing system.
> Separate payment detail and check. Mail check to the appropriate vendor or employee.
> Resolve discrepancies in accounting records.
> Import freight files for review, make necessary adjustments to the record, and post when completed.
> Perform miscellaneous clerical duties such as scanning, filing, answering correspondence and creating basic spreadsheets.
> Develop and maintain positive working relationships with other team members within the department and throughout the organization.
> Assist in special projects as requested from the Accounting team.
> Regular and prompt attendance at work is a primary function and requirement of this position.
Working hours: M-F 8a-5p
>High School Graduate or General Education Degree (GED)
>Associates degree in Accounting or some college course work completed in accounting is helpful.
>Three to five years in accounts payable, bookkeeping, or other related accounting field.
>General knowledge of accounting processes and how they flow is preferred.
>Computer literate in a Microsoft Windows environment.
>Accurate typing skills, approximately 30 words per minute.
>Accurate 10-Key by touch, alphanumeric.
>Intermediate level of experience using Microsoft Excel. Must have the ability to perform functions such as creating a spreadsheet, formatting a spreadsheet, using the formula bar to perform various functions, importing/exporting documents, and calculating numbers.
>Basic level of experience using Microsoft Word. Must have the ability perform functions such as composing, editing, naming and saving documents, formatting text, and printing.
>Basic level of experience using Microsoft Outlook. Must have the ability to perform functions such as composing, sending, forwarding and replying to incoming e-mail, attaching computerized files, and utilizing calendar and task reminders.
>General knowledge of how to use a calculator, scanner, copy machine, fax machine, printer, telephone and various standard office equipment.
>Working experience using Microsoft Dynamics AX software is a plus.
>Proficient in basic mathematical skills such as adding, subtracting, dividing, and multiplying.
>Primary language used to perform this job is English.
