Job Description

Our client in the Santa Barbara area has an immediate need for an administrative professional needed to perfomr a variety of accounting and administrative related functions, prepare and analyze data, provide routing and technical accounting and admin support and assist Administrative Manager / CFO with accounting, financial, audit preparation and HR/Payroll related tasks as needed.

The Administrative Assistant III classification is responsible for performing accounting and administrative duties such as processing accounts payable, preparing bi-weekly payroll and affiliated reports in cooperation with contracted payroll company, preparing bank deposits, budget tracking, monthly financial reports, benefits schedule, office systems technical assistance, answering the telephone and fielding inquiries as needed; preparing correspondence. This position provides necessary administrative support to management and staff.

Working hours: 8:00 AM - 5:00 PM

Knowledge of:

Information systems technology and specific applications for financial and administrative record-
keeping and reporting.

All pertinent federal, state and county laws and regulations, agency policies and procedures
pertaining to assigned areas of responsibility.

Payroll, accounts payable and accounts receivable processing and reporting requirements.
Strong knowledge of Microsoft Excel and Word.

Background of modern methods, practices and procedures of financial and statistical record-
keeping. Proficiency in mathematics.

Proficient in use of English language, spelling, grammar and punctuation. Report, memorandum and
letter writing techniques.

The use of computer programs for word and data processing.

Ability to: Learn, understand, interpret and apply policies and procedures, and pertinent federal, state and
local laws, rules and regulations pertaining to assigned areas of responsibility.

Multitask in an extremely fast-paced environment.

Work continuously with mathematical figures and perform arithmetic computations accurately and

Prepare and maintain accurate reports and records.

Accurately process accounts payable, payroll, accounts receivable and journal entry transactions.

Prepare a variety of financial statements and reports.

Collect and compile statistical and financial data, and prepare reports using such data.

Effectively use computer programs for financial / administrative record-keeping and reporting.

Establish and maintain effective working relationships with those contacted in the course of work.

High School

4-7 years

Minimum - associates degree in business administration, accounting or closely related field. Bachelor???s degree preferred.


Five years of experience performing fiscal, statistical, billing and general office support work.
Experience with QuickBooks accounting software.

Other Requirements:
Possession of a valid California driver???s license and an insurable driving record.
May be subject pass a pre-employment physical, which includes drug screening.
