Job Description

The Administrative Assistant is responsible for providing administrative support to the General Manager in activities including, but not limited to: managing calendars, travel, teambuilding events, assisting with prep work for internal/external meetings and presentations, preparing, reviewing and managing various reports, etc. Assist in planning, organizing, implementing and accomplishing day-to-day functions and goals of the department.

Responsibilities:
Manage schedules for senior management
Arrange and schedule travel for senior management
Anticipate needs and accomplish responsibilities without direction
Prepare and reconcile expense reports through Concur
Assist in prep work and previews for various internal/external meetings to include capital expenditures, customer presentations, employee presentations, etc
Arrange and run team building events
Generate reports as required by senior management
Support customer visits
Newsletter and War Room champion
Perform research as required
Manage multiple projects/priorities and follow up to ensure timely achievement of commitments.
Attend various meetings as required
Perform other duties as assigned.

Working hours: 8:00 AM - 5:00 PM

Skills:
Prior administrative experience in manufacturing or distribution environments preferred; prior multi-site work experience with 500+ employees a plus.
Proven experience demonstrating use of discretion in interfacing with all level of individuals, internally and externally, as well as handling confidential information.
Excellent use of Microsoft Word, PowerPoint, Excel, Outlook, Adobe.
Transcribe and type accurately.
Rely on experience and judgment to plan and accomplish goals.
Ability to work independently and in a team, or lead an administrative assignment.
Must exhibit a professional demeanor.
Ability to maintain confidentiality of sensitive information.
Ability to compile reporting with a high degree of accuracy.
Incumbent must be detail oriented and able to communicate/implement process improvement changes.
Must be able to multi-task, handle a heavy work load, shift priorities while maintaining focus and meeting critical deadlines.
Able to respond outside of normal working hours with having flexibility in schedule to support business demands.
Must be able to adapt and be comfortable with continuous process improvements and a change culture.
Ability to follow directions and procedures accurately; to organize facts and figures; apply basic arithmetic including addition, subtraction, multiplication, division, and averages.
Attend or conduct meetings to negotiate, explain, persuade, or present information.
Sensitivity to confidential information is required

Education:
Bachelors

Experience:
1-4 years

Qualifications:
Two Year Associates Degree in business or related field; or combination of education and experience.
