In this position you will provide administrative support to the entire management team as well as assist with inventory control, provide support with the phone system, website maintenance and updates, assist with purchase orders, reviewing estimates and invoices for consistency, and the maintenance of procedure and training manuals. This includes/is not limited to:

???Provide Customer Service support with prompt, courteous phone response on customer requests for schedule information, billing, any other customer inquiries, or direct the call to the appropriate party.
???Inventory control in regard to accounting (average cost, price increases, etc.), adding new parts, maintaining descriptions and item codes to stay consistent in the system.
???Create, update and/or maintain procedures and training materials.
???Review incoming resumes from the website for various job positions and narrow down select candidates based on job description requirements and experience; forwarding these to the appropriate manager(s).
???Invoicing customers for Working Sale Estimates for salesmen based on received PO report with guidance from salesman if necessary.
???Assisting the Accounting Manager with inputting PO related bills on a regular basis as well as maintaining updated COI documentation on sub-contractors
???Provide administrative support to company CEO and Managing Director as directed, and produce and/or review various reports to be given to Upper Management as requested.

???Update and maintain all websites and all social media accounts:
oMonthly spotlights for customers & employees
oCurrent jobs
oTestimonials (provided by salesman or managers)
oSpecial notification of events for customers and vendors
oPromotion of any of the above or other as given/directed by the management team
???Website/E-Commerce (this may change as the area is developed because of its newness):
oMaintain current company Website
oAssist in the development of new web pages/Websites as determined by management
oUpdating website with correct inventory, pricing, and promotions
oHandling invoicing for incoming orders to relieve stock
oSending orders to the parts department for shipping or ordering from vendor
???Special customer &/or vendor events coordination with direction of the manager of the department related to the event or with direct supervisor:
oCreating, 1st & 2nd mailing, and posting of any necessary flyers
oCoordinating location of event within given budget if off-site

Working hours: 8:00 AM - 5:00 PM

Ability to read and interpret documents such as price lists, invoices, bills, reports. Ability to read and write reports and correspondence and the ability to speak effectively before customers or employees of the organization. This job will require effective communication skills on the phone.

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to create and interpret graphs.

Ability to apply common sense and understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Ability to perform the job with the number one priority being attention to detail.
