Job Description

We are looking for a Receptionist / Administrative Assistant with experience for a local Fort Myers company. This is a great temp to hire opportunity.

Here is a summary of the position:

- Provides receptionist/administrative support to Corporate Administration.
- Greets client/suppliers/visitors in a professional friendly manner.
- Answers, screens and directs all incoming calls to proper individuals
- Take detailed messages when required.
-General clerical duties including photocopying, fax, and mailing.
-Maintain electronic and hard copy filing system as requested.
- Handles requests for information and data.
- Schedule/coordinate meetings, appointments, etc. for managers as requested.
- Forward incoming general email, faxes and phone inquiries to the appropriate staff.
- Assists in the flow of paperwork from multiple departments.
- Prepares FedEx mailings as requested
- Prepare and distribute documentation, folders and files that support Corporate Administrators.
- Responsible for upkeep of Conference Room and CEO office and equipment (coffeemaker, printer, etc).
- Responsible for updating Visitor Board when necessary.
-Communicates with customers both verbally and in writing when requested.
-Organize and maintains Conference Room.
- Ensure timely distribution of material/documents to proper recipients as requested.
-Organize and maintain files as directed.
- Prepare agendas and supporting materials for meetings when requested
-Responsible for company errands such as but not limited to: ordering/picking up lunch for meetings, Post Office/Fed Ex drop offs, office supply pick-up, etc.
- Scan, name and save documents and files electronically.
-Take meeting notes and type for distribution as required.
-Maintain regular and timely attendance.

Working hours: 8:00 AM - 5:00 PM

- High School diploma or GED with two years previous customer service experience OR any combination of education, experience, and training that provides the required knowledge, skills, and abilities.
- Very good computer software experience with Microsoft Office products, Outlook with ability to learn other software products that may be utilized during course of business.
- Must have previous experience answering multiple phone lines.

- Must be detail oriented, highly organized and able to prioritize workload.
- Must have strong verbal and written communication skills.
- Must be able to work under pressure and comfortable with multi-tasking.
- Must be proficient in reading, writing, and speaking the English language.
