Job Description

This position as an Administrative Assistant supports one to two analysts as well as additional responsibility coordinating and overseeing building maintenance, ordering of all office supplies and maintaining inventories in a cost effective manner, providing some assistance to our accounting and trading groups. The applicant will be working with a seasoned administrative team who support all aspects of upper management?s needs. The environment requires both an independent and team oriented mindset. One must be able to work within a fast paced environment, be well organized, a quick learner, constantly thinking ahead, detail oriented and be able to switch gears on a dime. This position will interact closely with all departments of the firm, and applicant must be able to handle multiple projects at once.

Responsibilities:
- Acts as right hand person to executive(s)
- Maintains efficient filing and organization of correspondence, research data and meeting materials

Working hours: 8:00 AM - 5:00 PM

Skills:
- Extensive experience with MS Word, Excel and Outlook
- Basic Quick Books experience
- Written and communication skills

Education:
Bachelors

Experience:
4-7 years

- Coordinate travel arrangements for flight, hotel, car rental and conferences as well as do expense reports
- Must possess excellent research skills which may include people, places and companies that executive is interested in or visiting.
- Ability to answer and field various types of telephone calls
- Maintaining records, reports & files


A day's work includes fielding telephone calls, scheduling appointments, pulling reports, research, maintaining spreadsheets as well as booking travel. It may also include scheduling and overseeing any property maintenance needs that may arise. Any applications received where the applicant does not meet these requirements will not be considered.
