Job Description

Our client, a Fortune 500 company, seeks a qualified and dynamic Professional Administrative Assistant to provide office support as a part of their successful energy program team. This position offers a very unique career opportunity with the successful Focus on Energy program that promotes energy efficiency and renewable energy projects across the state of Wisconsin.

The position is ideal for a person with excellent general administration and organizational skills with the ability or interest to learn new skills needed to integrate with the team and the Focus on Energy program

Responsibilities:
- Process expense reports for staff
- Provide general administrative support to staff by handling office supply procurement, coordinating meetings and teleconferences, assisting with travel arrangements, on-boarding new hires, shipping goods as needed, and troubleshooting basic IT issues.
- Assist in the development of presentations, marketing materials, and program reports and provide general support in areas such as document editing, formatting, and proofreading.
- Answer phone calls, respond to customer emails and manage faxes and communications for the office
- Arrange for payment of invoices for goods and services by coordinating with corporate accounting, and track this spending for budget and reference
- Serve as office POC and liaison between various corporate points of business including, but not limited to: the facilities team, IT site support, accounts payable and auditing, procurement, and other offices
- Complete data entry for Wisconsin Focus on Energy program applications within Microsoft CRM database; track application submissions; organize and maintain application hard copy files per program guidelines

Working hours: 8:00 AM - 5:00 PM

Skills:
- Proficiency in Microsoft Office Programs, Adobe, Windows operating system
- Excellent verbal and written communication skills.
- Must be highly motivated, detail oriented, well organized, self-starting, and work well in a supportive team environment.
- Ability to take ownership of responsibilities and can work independently
- Ability to handle multiple priorities

Education:
Bachelors

Experience:
1-4 years

- Prior administrative experience in an office environment
