Job Description

DEFINITION: Under supervision, performs a wide variety of clerical and secretarial support for technical, professional and management staff.
DISTINGUISHING CHARACTERISTICS: This is the entry-level Administrative Assistant classification. The incumbent receives general guidelines regarding the duties and types of confidential information and its dissemination. Generally, routine matters within the scope of the responsibility of the Administrative Assistant I are handled according to standard procedures, and non-routine matters are dealt with according to established guidelines, except for the most unusual and difficult matters which are referred to the supervisor for instruction. Incumbents may be assigned a variety of other secretarial duties which generally require the exercise of initiative and independence and an understanding of the rules, policies and procedures of the department. Incumbents in this class may be advanced to the Administrative Assistant II level upon meeting the requirements of that classification, completing a minimum of one year of satisfactory performance as an Administrative Assistant I, in a full-time position or equivalent service, with the recommendation of the Department Director.

Working hours: Mon-Fri 8Am to 5pm

EXAMPLES OF DUTIES: NOTE: The following are the duties performed by employees in this classification. However, employees may perform other related duties. Duties listed are not necessarily performed by each individual in the classification.
1. Prepare correspondence, notices, miscellaneous reports, including staff reports, and/or documents using basic knowledge of a personal computer and word processing software programs. Measures: Demonstrates proficient secretarial and clerical skills and abilities; knowledge of common word processing software programs and techniques. Demonstrates effective grammar skills, effective interpersonal skills, and ability to work independently.
2. Keep calendars, make appointments, receive people, answer and place telephone calls, handle mail and other correspondence. Measures: Works well on own initiative, and handles numerous personal and telephone contacts with courtesy while performing required duties.
3. Serve as back-up secretary for Council or commissions. Works well on own initiative and able to handle numerous personal and telephone contacts with courtesy while performing required duties. Demonstrates proper English usage, grammar, editing and proofreading skills, accuracy and timeliness.
4. Coordinate and/or review the work of clerical support employees in lower classifications. Measures: Assignments are complete, accurate and proofread; and submitted in a timely fashion.
5. Maintain department or division filing system. Measures: Files are accurately maintained in the manner designated; incumbent is knowledgeable of alpha, numerical and chronological filing systems. Perform other duties as assigned within the scope of the job classification.
