Job Description

The Administrative Coordinator is responsible for providing support to all team members in the office. The day to day function of this position is conducted in collaboration with other departments and their needs. Candidate will work alongside Director to plan, coordinate, and execute the administrative responsibilities necessary to support the ongoing business of the company.

Performs general administrative and other tasks as requested
Work in a team oriented environment
Maintain company's filing system, both hard copy and electronic, to ensure the ability to retrieve important documents on demand
Organize and maintain office environment in a way that provides a productive and efficient workplace
Maintain and track inventories and supplies (office supplies, event materials, etc.)
Submit re-order forms for any supplies to the Director
Assist in planning and coordination of company events including scheduling, travel reservations, schedules, and other arrangements for guest speakers, compilation of materials for the events, coordinate with Director to get bids or quotes for different jobs associated with the event
Maintain electronic database of company partners, interested parties, contacts, etc.
Perform data entry in a quick and efficient manner
Assist in coordinating promotional & fundraising events (i.e. bulk mail, material preparation, and event planning)
Write letters of inquiry, acknowledgement notes, and other correspondence as necessary
Promote and maintain a high standard of customer service that is client focused

Working hours: 9:00 AM - 5:00 PM

Proficiency with computers and Microsoft Office software to include Word, Excel, PowerPoint, Publisher, and Outlook
Ability to set, plan, and accomplish goals according to deadlines
Ability to juggle a variety of tasks
Creative thinking and excellent research skills
Ability to work as part of a team
High sense of responsibility and accountability
Self-sufficient and highly organized with flexibility and ability to work within timeframes

High School

1-4 years

Must have High School Diploma or equivalence
Minimum of 1-3 years experience in a clerical or administrative position
Must have stable tenure with previous employers in order to be considered
Must be willing to submit to drug screen and background check
