Job Description

Spherion Staffing is looking for a Contract Administrator to work with a local contracting firm. The Contract Administrator provides support to the Development department. In this role, the Contract Administrator is responsible for all written communications and schedules of senior management, completing daily email correspondence activities, assisting with receptionist activities, updating and maintaining database information, generating contracts and a variety of departmental reports, and completing all routine administrative duties as assigned.

Qualified applicants must have a degree in Administration and a minimum of 2 years' experience preferably within the construction/building field.

Monday-Friday 8 am-5 pm
Pay $16-18/hour DOE

- Assist with all communications for senior management to include: Documents calendar/schedule of senior management, completes routine email and voicemail correspondence as requested, completes filing and record management activities for departmental documents/records and fields incoming phone calls and refers to appropriate staff members
- Assist the development team by generating contracts, ensure contracts are fully executed and returned to subcontractor in a timely manner, maintain files for pending payment, monitor development invoices to insure they are coded and approved, ensure change orders are approved, processed and new contract values are sent to subcontractor and superintendent, monitor and code charges for VP of Development, assist with preparing paperwork for draw requests for the lenders in joint ventures and coordinates all travel arrangements for VP of Development, Project Managers, and Superintendents
- Maintain the database for projects by updating and maintaining departmental information and project status reports, collect and coordinate field information such as photographs, site progress reports, and weekly meeting reports, verify all subcontractors are properly licensed, insured and W-9's are on file prior to start of construction, responsible for tracking Development and Capital Improvements lien wavers in the software program and applies for and/or renews contractor licenses

-Associate's Degree in Administration
-Two plus years of related experience required
-Ability to meet the demands of the work schedule, to be at work and on time. May occasionally require the ability to work outside of regularly scheduled hours. Schedules may vary based on business need
-Strong verbal and written communication skills required
-Strong attention to detail required
-Proficient in Microsoft Word, Excel and Outlook
-Ability to balance multiple priorities and meet deadlines
