Summary/Objective

The primary responsibility of the credit assistant is supporting the Credit Manager with all functions related to accounts receivable. Primary duties include corresponding with customers regarding status of outstanding balances and payment status, as well as processing credit applications and incoming customer payments. This position requires excellent communication skills. A large amount of customer contact is an integral component of this job as is the ability to resolve outstanding issues.



In addition, the credit assistant will support the Credit Manager as needed with written correspondence, reports, etc.

Work Environment

This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Computer Skills

This position requires a mid-level knowledge of Microsoft Excel; Microsoft Word; and Outlook. The ability to learn proprietary software is a must. Able to type 45 or more WPM and use number keyboard on computer keypad proficiently as well as 10-key calculator by touch.

Physical Demands

This is a largely sedentary role; however, some filing is required, which would require the ability to lift files, open filing cabinets and bend or stand on as necessary.

While performing this job, the employee is regularly required to talk or hear. The employee is frequently required to sit, stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

Position Type and Expected Hours of Work

This is a full-time, non-exempt position, and typical work hours are Monday through Friday 8:30 a.m. to 5:00 p.m. The employee is allowed a full hour lunch typically from 1:00 p.m. to 2:00 p.m., however there is flexibility when it comes to the lunch time and this can be arranged through the supervisor.

Responsibilities:
1. Processes credit applications, including processing of credit references and bank references.
2. Notifies customer, salesmen, store managers and customer service department of approval/rejection of application.
3. Maintains record of applications for credit files.
4. Maintains customer name & address database.
5. Conducts credit collections by prioritizing credit reviews for existing accounts, contacts customer and sales, coordinates activities with customer service and ensures proper follow-up.
6. Processes and records daily invoicing to balance to A/R Control
7. Investigates, responds to, and resolves customer queries pertaining to invoices/accounts
8. Processes incoming daily cash receipts (wire transfers, ACH credits, credit cards and loose checks) and posts payments to customer accounts
9. Maintains annual resale certificate records
10. Researches and resolves internal credit hold releases
11. Obtains job specific information to file and track Notice to Owner jobs, preparing Release of Liens and maintaining NTO files
12. Provides customer credit rating requests to retail stores, credit agencies, banks, competitors, etc.
13. Assists customer service department as follows:
a. Enters and processes orders received via phone/fax/email/or personally
b. Edits orders received for price and nomenclature
c. Informs customers of prices, shipping date, anticipated delays and any additional
information as related to order
d. Prepares various sales aids as needed
14. Assists accounts receivable/customer service representative with various tasks including filing and processing of month end statements.

Working hours: 8:00 AM - 5:00 PM
