Job Description

DOT Compliance Specialist (Non-Exempt)
Location: Lakeland, FL

Job Summary
The DOT Compliance Specialist assists with the management of the Company's Department of Transportation (DOT) compliance initiatives, working closely with field operations management and operations personnel; and makes recommendations to the Safety Director to improve compliance with the applicable federal and state regulations.

Essential Job Functions:
1. Respond to Company facilities' DOT inquiries.
2. Train employees regarding DOT compliance.
3. Provide assistance with hours of service compliance monitoring and electronic log editing.
4. Review DOT recordable accidents.
5. Review Driver applications, background checks and medical documentation for DOT compliance and coordinate with HR throughout the hiring process.
6. Review Electronic Logging Devices data for DOT compliance and communicate with Location Transportation managers to provide unit data, DOT compliance guidance and work with ELD unit manufacturers to order new units and resolve issues. Also provide training and training materials for Transportation Managers and drivers.
7. Maintain an updated driver list - including all drivers and trainees that are in the hiring process Maintain, create and update driver qualification (DQ) files as necessary and required.
8. Send out the new hire packets to each location for the transportation managers to fill out and return for each new hires' DQ file.
9. Update DOT medical and CDL expiration dates in payroll system for all drivers and transportation staff with CDL's.
10. Keep track of and run bi-annual MRV's on all drivers and transportation staff that drive company vehicles.
11. Run annual MVR's on all staff that drive company owned-vehicles.
12. Create the quarterly DOT required random drug & alcohol list of drivers and use software to pull the list.
13. Receive, process and file all fuel receipts/purchases and mileages for all company-owned vehicles that are apportion plated, quarterly as required by Texas IFTA and file quarterly IFTA taxes, along with KY and NM weight distance taxes
14. Maintain and update the Fleetmate database with driver data.
15. Assist Accounting Dept. to process medical vendor invoices (OHC, US Healthworks and Concentra) and/or sent to the correct locations.
16. Maintain and update all 3 NTTA toll tag and Houston's E-Z pass toll accounts and coordinate with equipment listing.
17. Maintain, update and renew our Texas IRP account annually or as needed.
18. Maintain, update and renew all New Mexico highway use permits annually.
19. Complete all DOT employment verification requests.
20. Travel (including overnight) up to 10% of the time, as may be required by car and/or air travel.
21. Performs and assumes other duties and responsibilities as may be required by immediate supervisor.

Working hours: 8:00 AM - 5:00 PM

1.-Ability to work in a fast-paced, multi-tasking environment.
2.-Knowledge of administrative procedures and electronic systems such as Microsoft Word and Excel, including working with pivot tables, able to enter data and create reports from various databases
3.-Working knowledge of DOT and FMSCA rules and regulations.
4.-Organizational skills for both electronic and paper files and data are essential.
5.-Able to communicate effectively, both orally and in writing, as appropriate for needs of the audience. Proficient in correct spelling and grammar
6.-Ability to communicate effectively with front line employees, as well as various levels of management.

High School

1-4 years

Minimum Qualification:
1. Proficiency in Microsoft Office and database software.
2. Minimum three years of experience in, or responsibility for, DOT enforcement, auditing or compliance with a DOT regulatory agency or motor carrier.
3. Ability and experience necessary to inspect Company equipment to determine compliance status.
4. Ability and experience necessary to instruct various DOT-related classes.
5. High School Diploma or GED

Preferred Qualifications:
6. Associate Degree in Risk Management, Safety and Health, or closely related field, preferred but not required.
7. Bi-lingual in Spanish, preferred, but not required.
