Job Description

The Events Coordinator is responsible for the planning and implementation of special events throughout the year. This includes coordinating volunteers, logistics, recruitment, seeking and tracking in-kind donations, and managing sponsors.

As a member of the Events team, this position is responsible for planning and executing high quality events that reinforce the mission of our clients' company. The Events Coordinator will be a critical contributor to the growth of the company through day-to-day operations.

- Develop and manage project plans, timelines for special events. Monitor and report on event registration, sponsorships, donations and revenue. Work with the Senior Manager, Events & Partnerships to create revenue and attendance projections for all events.
- Conduct post-event SWOT analysis, budget reviews, and participant and key stakeholder surveys and follow up.
-Coordinate and develop volunteer committees for special events. Develop goals and objectives for committees, committee member task descriptions, facilitate meetings and lead committees towards successfully completing established goals and objectives.
- Responsible for management of event logistics. Secure and coordinate all appropriate permits, licensing, insurance waivers, etc. prior to events. Manage all materials and signage necessary for event production.
- Develop and implement participant recruitment strategies. Identify demographics of each event, new donor/participant pools and recruitment technique for specific groups.
- Work with Senior Manager Events & Partnerships to develop incentive/prize plans.
- Acknowledge volunteers, participants, and sponsors following events.
- Identify and solicit sponsors for major in-kind donations for fundraising events to defray costs. Create ???Final Report??? for each event.
- Work with Program staff to develop volunteer recruitment and training strategies to meet the ongoing needs of annual events.

It is the role of the Event Coordinator to continually assess event targets, performance and implementation to assure all stated goals are achieved.

Working hours: 8:00 AM - 5:00 PM

- Excellent written and oral communication skills
- Customer Service experience
- Experience running multi-faceted fundraising events preferred
- Experience with online fundraising platforms
- Proven ability to work with diverse groups
- Budget management and financial oversight
- Valid driver's license/personal transportation is required
- Analytical thinking and problem-solving skills with attention to detail
- Marketing experience/consumer thinking insight is a plus
- Excellent organizational and time management skills
- Must be a team player and committed to relationship building
- Energy, enthusiasm, flexibility and a positive attitude
- Flexibility to attend evening/weekend/early morning events/meetings - travel is required
- Proficiency with Microsoft Office applications


1-4 years

A Bachelors degree and 1-2 years of related experience is required.
