Job Description

* Completes all bookkeeping functions including posting to QuickBooks, processing checks and credit card income and expenditures, issuing and following up on invoices, reconciling bank accounts, tracking and posting all data for online programs and grants, and preparing for an annual audit
* Processes payroll
* Ensures timely deposits of funds
* Works with board treasurer to ensure all financial reports are provided to the board members
* Ensures donors are thanked in a timely manner and are recognized appropriately
* Secures copies of receipts for all school awarded grants
* Maintains administrative records, accurately maintains files, screens correspondence and incoming calls, exercises independent judgment, deals with the public, teachers and board members in an informative, helpful and friendly manner, tactful, diplomatic and discreet
* Coordinates and prepares minutes of meetings, compiles and distributes board meeting packages; arranges locations, facilities, refreshments and conference equipment for meetings
* Accurately distributes correspondence and answering of routine correspondence, establishes priorities, keeps schedule and appointment calendar
* Completes annual Solicitation of Contribution Agreement and Division of Corporation Annual Report
* Annually completes License for Learning affidavit and renews insurance policy
* Tracks school group fundraising activities
* Assists with event related tasks
* Secures sponsorship support for special events and programming
* Coordinates the printing and design of signage and collateral materials for events/programs
* Attends and works special events as needed
* Contacts potential donors to secure auction donations for annual events
* Ensures auction item information is entered into auction software

Working hours: Monday-Friday 8AM-5PM

* Must be organized, detail oriented, and able to communicate politely and effectively, display personal initiative, exercise good judgment, and maintain high ethical standards and confidentiality.
* Ability to multi-task in a fast-paced environment, establish priorities and maintain flexibility
* Solid understanding of English language rules of composition and grammar with ability to assist in creation of short announcements or newsletters
* Ability to anticipate needs, think critically and recommend solutions in advanceKnowledge of managing and posting information on internet/intranet websites including social media
* Experience with email campaigns
* Proficient use of mail merge functions
* Knowledge of essential general office procedures
* Proficient use of all office machines - fax, copier, scanner
* Proficient use of Microsoft Office - specifically Word and Excel
* Working knowledge and understanding of accounting principles
* Proficient use of QuickBooks
