Job Description

Perform a wide range of executive, administrative and office support activities for senior management to facilitate the efficient operation of the organization.
Main Job Tasks and Responsibilities
Research and Analysis
- Supports executive team by researching, collecting and analyzing information
- Research relevant statistics, data and information as needed
- Compiles, analyzes and report on trends in the programs
Write and Prepare Documents
- Prepares written materials - presentations, letters, and other documents
- Prepares meeting agendas, minutes and follow-up notes.
- Develops and maintain a program report calendar
- Schedules, organizes and attends program staff meetings
- Schedules and coordinates phone calls and meetings
- Schedules and coordinates meetings
- Schedules and coordinates appointments and travel arrangements
Data Management
- Secures information by completing maintaining electronic and hard copy filing systems
- Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
- Handles requests for information and data
- Assists with special projects - planning and initial phases of implementation
- Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing professional networks.
- Contributes to team effort by accomplishing related results as needed

Working hours: Monday - Friday, 8:00AM - 5:00PM

--4-year college degree preferred and at least three years of experience ideally working with senior management teams
--Detailed oriented person who can remain focused and complete a job
--Knowledge of key issues within the organization including researching information on web sites, social media and/or publications, in order to perform such tasks as examining reports or documents for items of interest to the organization and maintaining files.
--Oral and written communication: Applicants must demonstrate a strong command of the English language to include grammar and spelling. Executive Assistant must consistently meet a high standard for English, both written and spoken (overall structure as well as delivery, clarity and succinctness).
--Planning and Organization: Skill at organizing multiple and varied tasks into an achievable system quickly and accurately with minimal supervision in order to complete duties on time.
--Knowledge of Office Computer Programs: Knowledge at the Microsoft Office Specialist level in Microsoft Office, Word, Excel, and PowerPoint, Access or SharePoint, in order to perform tasks assigned
--Interpersonal: Skill in working positively with colleagues in order to promote harmony, cooperation, and good morale.
--Decision Making: Professional judgment and experience to make decisions within appropriate areas of responsibility that move projects forward and enable timely achievement of section goals, including knowing when it is necessary to seek guidance from more experienced employees.
Time Management: Skill in time management and prioritization of work, often under conditions of tight deadlines, in order to perform assigned tasks.
