Job Description

Maintains Account Receivable and Accounts Payable accounts including preparation of invoices, submittal of invoices and thorough follow up after submittal.
Reports to and supports the Business Development Executive in regards to all marketing endeavors, including preparing marketing material, attending trade shows and following up with perspective clients.
Maintains company external training schedule, including communication with clients, receiving payments for attendees, preparing material, and class follow up.
Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.

Responsibilities:
Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
Maintains customer confidence and protects operations by keeping information confidential.
Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
Prepares reports by collecting and analyzing information.
Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
Maintains office services by organizing office operations and procedures; maintaining time records for use in preparing payroll; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.
Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions; defining procedures for retention, protection, retrieval, transfer, and disposal of records.
Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
Designs and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.
Completes operational requirements by scheduling and assigning employees; following up on work results.
Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
Maintains office staff by assisting with recruiting, selecting, orienting, and training employees.
Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
Achieves financial objectives by preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions.
Builds a productive working relationship with other team members.
Contributes to team effort by accomplishing related results as needed.
