Job Description

DIRECT HIRE Opportunity ALERT!!!

The Executive Assistant performs a broad variety of administrative support duties, including preparing reports, making travel arrangements and screening callers. Does work of a confidential nature and receives a minimum of detailed supervision and guidance.

Responsibilities:
Provide direct administrative support to the President & CEO and other members of the executive team as needed.
Maintain work schedules and calendars for the President & CEO and the Executive VP ??? Business Development.
Coordinate logistics of the executive team programs including meetings, seminars, workshops, special projects and events.
Attend board and subcommittee meetings. Manage meeting set up, compile presentations and reports, produce and distribute minutes.
Prepare and review presentations for strategy sessions, company meetings, and various trainings.
Conduct research and prepare miscellaneous reports for the executive team, such as sales tracking and travel estimates.
Arrange complex international and domestic travel for CEO and EVP, as well as other members of the executive team as needed.
Complete expense reports, approve invoices and other related duties.
Review documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as necessary.
Provide administrative support for the HR department including new hire support/coordination, interview scheduling and other tasks as necessary when hiring managers and executives.
Establish cross training and support relationships with administrative staff throughout the organization.
Work with others respectfully and openly; provide help to achieve shared goals.
Complete assigned projects from executive team.

Working hours: 8:00 AM - 5:00 PM

Skills:
Excellent organizational skills.
Able to communicate the vision and goals for the organization and respond appropriately in the absence of the President & CEO.

Education:
Bachelors

Experience:
1-4 years

Qualifications:
Bachelor???s degree preferred.
Minimum of 5 years of related administrative support experience. Minimum of 3 years at a senior level preferred.
Ability to multi-task with high attention to detail, prioritize competing work demands, and organize work to meet scheduled deadlines.
Proficient in Microsoft Office suite including MS Excel.
Ability to learn, adapt, and respond in a fast paced, changing environment that shifts priorities, manages competing demands and deal with frequent changes, pressures, delays and unexpected events.
Proven ability to work with minimal direction, as well as be resourceful and independent in solving problems.
Excellent communication (both written and verbal) and interpersonal skills (builds relationships).
Ability to handle sensitive and confidential information with the highest degree of integrity and confidentiality.
Ability to create accurate and professional business correspondence.
Proven ability to effectively work with all levels in the organization.
