Job Description

Provide high-level administrative assistance to the Chief Intellectual Property (IP) Counsel. Duties are broad, varied and often times of a complex and confidential nature and require independent action in a fast paced environment.

- Develop and maintain comprehensive electronic and paper filing systems and document control.
- Review and edit correspondence, reports, and presentations.
- Manage incoming correspondence, including email management and filing.
- Calendar management and meeting planning, including complex scheduling over multiple time zones.
- Provide support, as needed, for other direct reports to the Chief IP Counsel.
- Assist with travel planning and expense reporting.
- Work with various parties to support the Chief IP Counsel to manage IP accounting and budget.
- Assist with basic legal communication, research, and filings related to patent, trademark, domain name, and copyright.
- Manage and maintain docketing database for patent, trademark, and copyright matters.
- Assist with preparation and filing trademark applications.
- File Office Actions with Patent and Trademark Office.
- Maintain confidentiality at all times to protect information entrusted and provided as part of this position.
- Act as primary coordinator for select cross-functional projects, involving organizing meetings, tracking deliverables, following up with team members, and providing status updates.

Working hours: 1st Shift

- Associates Degree required; Bachelor's Degree preferred
- Minimum of 5 years of experience in high level administration
- Detailed understanding of patent prosecution process and formalities - both US and PCT
- Advanced skills in Microsoft Office products including Excel, Outlook, Word, PowerPoint
- Demonstrated exceptional organizational skills; detail oriented.
- Ability to set priorities, make decisions, meet deadlines, and resolve complex problems independently.
- Must have experience working in and thrive in a fast-paced work environment.
- Exhibit initiative, resourcefulness, and assertiveness in obtaining information needed to proceed with projects with minimal supervision.
- Outstanding written and verbal communication skills with the ability to interact effectively with executives and all levels within the organization.
