Job Description

Will be provide outstanding customer service to both external and internal customers through coordination of pick-up and delivery of petroleum products for internal and external fuel orders using established company procedures for sourcing, pricing, and dispatching Company owned equipment or common carriers. Develop good teamwork approach in maintaining good relations with customers, drivers, co-workers, and suppliers in a professional and profitable manner with honesty and integrity.

-Accurately process customer orders for loads received by phone, email or fax according to Company dispatching procedures.
-Good understanding of the Company customer tank monitoring system. Pull tanks or call customer for tank readings and determine fuel loads needed. Pay attention to the notes regarding customer requested product levels. Adjust order as necessary.
-Communicate orders to Company personnel &/or common carrier; include date, time, product, and special instructions for each delivery. Verbally communicate and assure that each delivery is understood by the driver or carrier. Then send electronic or paper dispatch as warranted.
-Review pricing and allocations prior to dispatching to Company driver or carrier. Review dispatches for anticipated price changes. Adjust as needed. If adjustment places customer in danger of a run-out, call the customer directly to discuss directions.
-Inform sales team of any delivery issues so they can be addressed quickly. Also communicate to the sales team any customer complaints, pricing or billing issues, or any other topics communicated to you by the customer or driver.
-Work with accounting to gather needed driver paperwork or answer any questions on delivery to assist in prompt and accurate billing.
-Work with other Logistic Coordinators to assure a smooth transition of information regarding orders, facility issues, driver or maintenance activity. Ask your team members to communicate any cross geographical or function deliveries to maximize Company resources. Know and consider those needs prior to finishing dispatches.
-Work to construct accurate and complete dispatches every time.
-Understand proper routing and total capacity of each truck to dispatch a profitable load while completing each delivery to all customers without run-outs or overfills.
-Assist in scheduling or communicating any truck maintenance or driver needs to the truck manager or shop. Updating the driver schedule or truck maintenance schedule as needed.
-Complete border crossing paperwork as need and transmit to driver

High School

1-4 years

-High School Diploma or Equivalent
-Petroleum or Transportation Industry Experience
-Basic Computer Skills to include: Outlook, Excel, Word
-Ability to Learn Additional Computer Programs
-Willing to Work Flexible Hours, Including Weekends and Evenings
