Job Description

We are currently seeking a Marketing Administrative Assistant to be a part of a growing commercial property company.

The Administrative Assistant is responsible for the timely, accurate and professional process of the companies marketing support, reception services, and office-related tasks.

The responsibilities of this Administrative Assistant are as follows but not limited too:

1. Create and maintain physical and electronic ???deal file" folders (active listing and tenant representation assignments) to ensure
proper documentation is accurately accounted
2. Order signs and riders, maintains inventory, ensure proper installation, repairs and removals ??? submits invoices for payment
3. Assist in the assembly of site tour books for buyer/tenant representation visits, as requested by the local Marketing Manager
4. Assist in proofreading flyers, brochures, e-mail campaigns, newsletters, press releases, and more, as requested
5. Enter listing revisions into company and alternate web sites
6. Update local office inventory brochures for all property types and tenant representation accounts to ensure active and accurate
information is continuously reflected
7. Assist in creating, proofing, and deploying monthly reception/conference slideshows
8. Work directly with agents, Property Managers and Principals to develop database prospect lists
9. Generate various demographic reports and void analysis, as requested; 10. Other marketing duties, as assigned

1. Answer incoming calls and distribute to appropriate personnel
2. Comply with and participate in digital ticketing system
3. Properly and promptly open office, including: unlock doors, distribute messages, process newspaper deliveries, prepare coffee
4. Prepare coffee at onset of office hours and remake as needed
5. Reception services: oversee phone system; greet guests and vendors; maintain presentable office and kitchen setting
6. Order and maintain appropriate inventory of office and kitchen supplies
7. Monitor condition of kitchen refrigerator contents and tidy or clean out as needed
8. Coordinate conference room meetings and refreshments
9. Ensure reception and conference materials are current and accurate
10. Distribute and processes mailings; monitor postage expenditures; provides reports to Accounting
11. Process and track overnight and delivery services, matching bills to invoices
12. Submit purchase orders & event invoices/receipts to Accounting
13. Maintain office equipment and coordinate service requests with vendors and service companies

Working hours: 8:00 AM - 5:00 PM

MUST have 2+ years using InDesign and Photoshop experience
Detail-oriented, multi-tasker, and excellent organizational skills
