Job Description

- Responsible for managing office area and assisting the Managers with day-to-day operations.
- Create, print and close work orders.
- Track services needed for equipment and schedule repairs.
- Enter new part numbers into the JD Edwards system.
- Enter, print, approve when manager is gone, and voucher purchase orders.
- Issue parts, labor, mileage, and rental hours to work orders.
- Create and locate work orders in order to charge them appropriately.
- Track employee time sheets.
- Assist with paying invoices and ensure Managers sign off on them in a timely manner.
- Answer telephone calls and assist customers, vendors, etc. in a timely manner.
- Organize and file office paperwork.
- Maintain a clean and organized office area.
- Speak with walk-in applicants and assist them in filling out applications and Drivers Releases.
- Communicate and cooperate with haulers and customers.
- Fill out forms to report mechanical problems to supervisor.
- Assist Managers with timekeeping, signing off on their Kronos when necessary.
- Run monthly reports for Managers.
- Direct the dispatch of mobile equipment mechanics for repairs per the Plant Managers request.

Working hours: 8am-5pm

Skills:
- Must have a minimum of a High School Diploma and an Associates or Bachelor's degree is a plus.
- Must have a working knowledge of Microsoft computer programs.
- Previous experience with Purchase Orders, Invoicing and Work Orders a must.
- Previous experience in the aggregate and/or construction industry a plus.
- JD Edwards and/or SAP experience a plus.
- Must be able to work in a fast-paced environment.
- Accounting and/or Accounts Payable experience a plus.

Knowledge and Skills:
- Must have an understanding of how inventory, purchasing, work orders and the general ledger
work together.
- Ability to perform several tasks concurrently with ease and professionalism.
- Must have excellent interpersonal and customers service skills.
- Ability to effectively communicate information to employees and management.
- Ability to handle multiple tasks at the same time.
- Knowledge of bulk material handling equipment, pumps and motors and a plus.
