The Office Support Coordinator is responsible for managing the day-to-day operations of the Office
Support team, which coordinates support services including mail distribution, records management,
maintenance of office equipment and supplies and facilities management. This position also supports
the executive team as requested and coordinates certain events and travel on behalf of the

Essential Responsibilities:

- Plan, prioritize, assign, coordinate workflow, and monitor the work activities of the Office
Support team
- Manage and execute the maintenance and upkeep of office areas and equipment, as well as the
design and housekeeping of facilities
- Establish and implement organizational standards and procedures for maintaining a neat and
orderly facility
- Manage vendor relationships for all office and facility-related activities (e.g., cleaning service,
break room maintenance, fax equipment, printers)
- Ensure timely maintenance of all equipment
- Support executives by preparing reports, gathering or researching data, , arranging and
coordinating food for meetings, preparing and distributing meeting materials, preparing
corporate meeting announcements, welcoming visitors, and performing other administrative
tasks as needed

- Assist with company event planning and coordination, including catering, setup and cleanup
- Arrange corporate travel and meetings by developing itineraries and agenda, booking
transportation and arranging lodging and meeting accommodations
- Assist in identifying business process improvements, participate in corporate and departmental
continuous improvement initiatives and lead implementation, when appropriate

- Coach, mentor, motivate and supervise team and influence them to take positive action and
accountability for their assigned work as appropriate

Working hours: 8-5, Monday- Friday

- Associate degree in Business or related discipline; may be substituted with two years directly
related work experience
- Minimum 5 years of experience as self-directed contributor in a service-oriented, professional
office environment
- Minimum of 2 years of previous supervisory experience
- Demonstrated effective verbal and written communication skills, utilizing proper grammar,
syntax and excellent business acumen
- Strong organizational, time management and follow-up skills, with proven ability to multitask,
prioritize and communicate a sense of urgency
- Proven track record of successfully managing upward
- Proven ability in building effective networks and working relationships both internally and
- Strong accountability and willingness to "do what it takes"
- Positive, professional attitude and demeanor
- High level of self-confidence and self-motivation
- Excellent problem solving
- Intermediate proficiency with Microsoft Word, Excel and Outlook
- Basic proficiency with Microsoft PowerPoint
- Possession of valid driver's license and access to reliable transportation
- Experience working with tax-advantaged benefit plans, COBRA or health insurance products
- Bachelor degree in Business, or related discipline
- Intermediate proficiency with Power Point
