Job Description

The Operations Support Specialist role exists to perform, organize, and streamline operational tasks to reduce the potential for errors and assist the entire team in reaching goals and meeting deadlines. Must be able to monitor for problems and ensure core business processes are being followed and escalate when required. The role requires ongoing learning to keep up to date on process requirements, contracts, agreements and regulations, and the ability to work closely with others to achieve a common goal. The Operations Support Specialist will interface with internal team members, external vendors, and customers. The ability to understand the big-picture, anticipate needs of team members, resolve problems, provide information, and communicate effectively is key to success in this role.

Responsibilities:
Provide support for the sales team by following internal processes including: creating contacts in CRM, supporting consultation standards, search for external events (trade shows, career fairs, tech expos, etc.) and manage logistics of each, assist with internal event planning based on existing marketing calendar (Lunch and Learns, workshops, webinars, etc.), promote events to potential and existing customers via Eventbrite, Mailchimp, LinkedIn, and other social media outlets
Manage Sales Calenders
Attend all sales and schedule meetings, take notes, and assign actionable tasks accordingly
Track opportunities in CRM and follow process for lead follow up via email based on sales funnel
Confirm and follow up with consultation appointments
Ensure registration paperwork is completed accurately based on funding source and enter sale into CRM
Use CRM for registration for classes and ensure class schedule is appropriately communicated
Maintain physical and digital records, ensuring all items are adequately stored in compliance with funding source requirements
Oversee inventory of all marketing collateral and ensure supply is adequately stocked, preparing needed collateral prior to internal and external events for the sales staff Order marketing collateral as needed
Track and report on individual and team KPIs in weekly and monthly meetings
Assist will all aspects of class scheduling to include: entering class schedule information in CRM, assisting with instructor capacity, planning, and class alignment.
Maintain and update the instructor playbook and ensure instructors are held accountable for classroom procedures and deliverables
Schedule and lead quarterly instructor luncheons to update all full time and contract instructors on changes and future planning
Manage AP/AR to include invoicing, collections, and paying bills and reporting on these to the team monthly
Provide administrative assistance to the Operations Manager on some HR duties

Working hours: 8:30 AM - 5:30 PM

Education:
High School

Experience:
1-4 years

Qualifications:
2+ years of business operations experience
Finance and accounting experience- AP/AR
Experience with training coordination is a plus
Local to the Columbia area.
Proven track record organization and providing support
Ability to work as an individual contributor in a Results-Only Work Environment.
