Job Description

The Parish Administrator is a professional who supports the Rector by assisting with the overall ministry of the parish. The Parish Administrator must be a reliable and detail oriented, organized, creative, and effective leader. The Parish Administrator will also provide budgetary oversight while coordinating with the bookkeeper.

The ideal candidate will be competent in prioritizing tasks, while working with little supervision. They will be self-motivated and trustworthy and will maintain absolute confidentiality. The Parish Administrator will ensure the smooth running of the church operations and will support our renewed growth. They will create and maintain a pleasant work and ministry environment, while ensuring high levels of organization, customer service, and clear communications.

Coordinates office activities and parish operations to ensure efficiency and compliance with parish policies and canons.
Oversees the management of the parish records (attendance, parish registry, etc.) Maintains parishioner records and databases with personnel, financial and other data
Maintains appropriate inventories office supplies, other ministry supplies.
Designs, creates, and prints weekly worship bulletins, quarterly newsletter, and other publications as required.
Serves as final editor for the newsletters.
Manages phone calls and correspondence (e-mail, letters, packages etc.)

Operations Management
Recruits, trains, and schedules a team of non-stipendiary office ministers.
Maintains and builds strong parishioner and ministry team leader relationships.
Provides human resources administrative support for paid staff.
Coordinates ministry activities, record keeping and reporting with multiple ministry team leaders.
Coordinates with parishioners to support administrative needs related to baptisms, weddings, funerals, and other sacramental events.
Coordinates the work of the Sexton (custodian) specifically as it relates to event setup, cleanup, and preparation.
Ensures the optimal maintenance and appearance of the entire Church campus, coordinating this function through the Junior Warden.
Schedules repairs and ensures proper operating condition of church equipment, by coordinating regular maintenance and repairs through the Junior Warden.
Ensures computer, telephone, shared documents, and other technologies are properly maintained and up-to-date, to include security software and antivirus programs.
Coordinates the allocation of room reservations with internal/external entities, and communicates with facility users to meet their resource needs.
Coordinates and monitors leases, rental rates, and payments associated with facilities use agreements.

Working hours: 8:00 AM - 4:00 PM

--Assists the Rector and Treasurer by helping to oversee the budget for the Parish.
--Coordinates financial management tasks with the bookkeeper.
--Maximizes cash management resources and coordinates with the bookkeeper to maintain the cash flow management system.
--Inputs all donation data in the financial system.
--Analyzes processes and makes recommendations related to financial procedures and policies.

Position Requirements:
Proven experience as an Office Assistant, Front Office Manager, Administrative Assistant, or Business Manager.
Advanced MS Office (MS Excel, MS Word & PowerPoint) & Adobe PDF skills.
Hands on experience with office machines (e.g. fax/scan and printers)
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
