Job Description

This is a full-time, temp-to-hire position. Some evenings and weekends required.

The Coordinator answers inbound calls for various departments providing front-line customer service to patients, physicians and staff. All communication takes place via phone or email, so there is no in-person contact with patients. Additionally, the Coordinator schedules and coordinates simple and complex patient appointments for respective clinics. This position involves working independently with minimal supervision to complete daily work assignments. Begins on a temporary basis, with consideration for long-term employment with the organization. Most hours are Monday through Friday during the day, but some evening and weekend rotation. Focuses on customer needs, and strives to do the job right the first time
Displays a positive attitude and image to all stakeholders
Schedules patient appointments, obtaining pertinent information and determining the priority, appropriateness and patient preference. Follows HIPAA and captures demographic and insurance information.
Routes incoming referral requests and provides appropriate documentation for the referral
Provides patient with brief description of required test or procedure when necessary and any required instructions
Answers telephones in a professional and courteous manner
Listen effectively, and if unable to resolve a concern personally, escalates promptly
Utilizes systems by obtaining accurate information to effectively communicate messages
Documents and completes all pre-authorization communication
Identifies insurance eligibility information required to obtain pre-authorization
Ensures accurate and timely documentation

Working hours: 8:00 AM - 8:00 PM (Various Shifts Available)

Great written and oral communication
Ability to remain calm with distressed or emotional individuals
Ability to multitask and prioritize
Ability to operate office machines such as fax, telephone, computer, keyboard, copier and scanner.


1-4 years

2+ years of customer service in a medical, fast-paced retail or other business environment. Call center experience preferred
MS Office Suite and aptitude to quickly learn new software
Strict adherence to confidentiality
