Job Description

Summary
We are looking for a qualified medical office manager to run our rheumatology provider practice. The candidate will be responsible for directing, supervising and coordinating the non-clinical aspects of the day to day operations of the practice and assist in providing quality, cost-effective patient care.

Responsibilities:
Job Duties
-Assist fiscal management and other administrative staff in implementing cost-effective policies and procedures for all operational areas including bookkeeping, billing, insurance, fee schedules, credit/collections, purchasing, data processing, and
space planning.
-Supervision of patient scheduling, registration, financial counseling, medical records, billing and collection, data entry and processing, and cash posting.
- Coordination of the day to day operations of the practice.
- Promoting excellent customer service throughout all levels of the staff.
- Implement and maintain office policies and procedures.
- Interviews, hires, and trains a productive medical office team and conducts performance reviews.
- Maintains and manages all filing and organizational systems for the practice.
- Liaise with doctors and support staff to identify potential office dysfunctions.
- Ensures patient satisfaction, including troubleshooting when there is a complaint and developing process improvements to prevent recurrences.
- Ensures regulatory compliance with HIPAA, OSHA, labor laws, and other federal, state, and local regulations.
- Assist in assuring all appropriate licensure, certifications and/or accreditations are secured according to policy.
- Coordinates staff meetings for administrative and clinical staff.
- Coordinates logistics for internal and external meetings and conferences.
- Ensures staffing is appropriate for day to day operations.
- Order medical and office supplies.
- Assists in special projects.
- Assists in recruiting clinicians.

Working hours: 7:00 AM - 7:00 PM

Skills:
Work Experience
- Minimum 3-5 years of medical practice management experience.
- NextGen Experience preferred.
- Experience providing effective business leadership to physicians.
- Ability to refine, reorganize or redirect workflow in a timely manner to optimize resources.
- Strong customer service orientation and the ability to effectively address concerns and resolve problems in a timely, win-win manner.
- Ability to adapt quickly in a fast-paced environment juggling multiple competing tasks and demands.
- Strong human resource management skills.
- Proficiency in computer software applications (MS Outlook, Word, Excel, and PowerPoint).
- Knowledge of bookkeeping and an understanding of accounting principles.
- Excellent verbal and written communication and presentation skills.
- Strong analytical and problem-solving skills. High attention to detail, accuracy, and follow- through.
- Ability to adhere to policies and standards of service as well as HIPPA requirements, OSHA regulations and Infection Control standards.
- Ability to establish and maintain positive relationships with staff, physicians, patients, and referring offices.
- Displays courtesy and helpfulness when interacting with all internal and external customers.
- Ability to promote a team atmosphere of trust and professionalism.
- Ability to show strong personal initiative and take ownership of their work results.
- Understands the business and responds to all related issues, concerns, and problems.
- Goal oriented with flexibility to adjust to multiple demands and shifting priorities.

Qualifications:
Education

Bachelor's degree in Healthcare, Business Administration or related field is required. Completion of Certified Medical Office Manager (CMOM) highly preferred.
