Job Description

The purpose of this position is to deliver program management and provide direct administrative assistance to the President of the organization.

- Maintain all records and database in accordance with company policy.
- Process payments and financial reports by established deadlines.
- Track individual interest in programs, submitted applications, and member placements.
- Handle prospects in a professional and courteous manner ensuring that they are provided the correct information.
- Organize and maintain computer and print files.
- Organize and maintain presentation materials, handouts, etc.
- Maintain and facilitate calendar of events.
- Develop and maintain policy and procedures manual.
- Process and submit event releases.
- Track and maintain sponsor/donor/alumni database.
- Coordinate and facilitate program meetings.
- Process and distribute communications for program events.
- Communicate with donors, sponsors, potential participants, and class members.
- Utilize software to communicate with class members, alumni, and the local community.
- Coordinate meeting dates, materials, locations, catering, and special events.
- Hire and coordinate vendor assistance as needed.
- Assist class members and alumni as needed.
- Send email communications to the Board of Directors, committee chairs, and sponsors on behalf of the President.
- Communicate program events to all interested parties.
- Maintain bookkeeping system through Wild Apricot Tracking and Bill-Pay entry.
- Perform general accounting duties and tasks.
- Prepare and maintain training materials for programs.
- Responsible for general office management.
- Other duties as assigned.

Working hours: 8:00 a.m. to 5:00 p.m.

This position requires a highly professional person with strong organizational skills. The ideal candidate will be self-motivated, require little supervision, and possess excellent communication skills. This position requires general computer knowledge with proficiency in Microsoft Outlook, Microsoft Word, Microsoft Access, Microsoft Excel, Microsoft Publisher, Microsoft PowerPoint, and Website maintenance. Working knowledge of Constant Contact, Survey Monkey, Wild Apricot, and BillPay is desirable.
