Job Description

We are working with a locally owned Design-Build Mechanical Contractor company who is looking for a dynamic, self-starter to assist a top producing Project Manager. This is a temp to hire opportunity.

RESPONSIBILITIES:
- Attend project start-up meetings
- Create Project Information Sheet including but not limited to: Shipping information, GC PM contact info, GC Foreman contact info, Subcontractors contact info
- Review contracts and send to appropriate parties and track return of executed copy for file.
- Provide Vendors and Subcontractors with purchase orders to receive their submittals
- Enter purchase orders into accounting software with appropriate ship to address and shipping instructions
- Create and maintain purchase and delivery schedules
- Obtain PDF Plans/Drawings and place into shared job or scan hard copy
- Create and provide foreman with manual containing approved submittals, schedules and any pertinent information required
- Provide the foremen with specs and electronic copies of submittals to foreman
- Approved customer change orders: Confirm dollar values are correct including contract to date values
- Initiate startup request forms with copy of submittal to Service Tech
- Meet with PM as needed to go through all open project purchase & delivery schedules to facilitate equipment scheduling
- Assist with all aspects of project management to help PM have coverage when they are not in the office
- Work with vendors; including soliciting, issuing of purchase orders, following up for delivery dates, information, etc.
- Assist PMs with problem invoices
- Visit jobs as needed
- Review and analyze project reports as requested
- Work with PM's on project close out reporting
- Work with all departments for coordination of information and reporting that pertains to the projects
- Constantly look for ways to improve departmental procedures

Skills:
REQUIREMENTS:
- Previous industry and invoice/PO experience with focus on accuracy and attention to detail is highly preferred.
- Experience in Project Manager Assistance highly preferred
- Must possess initiative, strong organizational skills, have the ability to establish priorities and meet deadlines.
- Possess knowledge of Microsoft Outlook, Word, and Excel and have the ability to learn company financial software.
- The ability to deal effectively with people by communicating effectively verbally and in writing is required. Must have the ability to function as a team player.
