Job Description

Spherion is working with a local financial center to find a front office receptionist. This is a temp to hire position with a growing company. The hours are 8am-5pm Monday through Friday. There is potential for anyone who is interested in becoming a financial advisor to grow and become licensed.

Responsible for answering incoming calls, helping clients when possible, transferring calls, and taking messages appropriately.
Coordinates Advisor's schedule and makes appointments. Responsible for confirmation of all scheduled calendar entries via phone, email or mail. This includes confirmation of client meetings as well as any other scheduled events.
Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer.
Prepares outgoing mail and correspondence and UPS overnight packages, including e-mail and faxes.
Responsible for new client set-up, updating client information, appointment scheduling and confirmation, client service calls, and client paperwork.
Maintains client records by filing and organizing client information, forms and documents within Compliance Manual records retention and filing requirements.
Responsible for the population and management of client information in Contact Manager.
Composes and types routine correspondence.
Finalizes client follow-up letters, retainer letters, and makes appropriate address changes.
Scans, organizes, and maintains file system in accordance with Company policies and compliance standards.
Greets clients, extends hospitality, and directs them to the appropriate person or area.
Provides marketing support, administers client appreciation, and ensures a positive client experience.
Assists with special projects and mailings.
Organizes and maintains file system, replenishes form drawer, and files correspondence and other records.
Orders and maintains supplies, and arranges for equipment maintenance.
Performs a variety of administrative duties for all areas of the business as needed.
Keeps immediate supervisor promptly and fully informed of all problems or unusual matters of significance.
Supports compliance within the practice and fulfills all compliance responsibilities. Develops an understanding and adheres to all compliance regulations throughout the course of employment.
Accepts and performs other duties as assigned.
Regular and predictable attendance, punctuality, and strict adherence to the Company's attendance policy are essential functions of this position.

Working hours: 8:00 AM - 5:00 PM

Language Skills: Ability to read and interpret documents such as company policies, regulations and instructions, procedure and compliance manuals is essential. Ability to write routine reports and correspondence. Ability to speak effectively with individuals as well as groups of clients or employees of the organization.

Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Computer Skills:
To perform this job successfully, an individual should have knowledge of contact management systems, database software, internet software, spreadsheet software, word processing software, Desktop Publisher, and PowerPoint software.


1-4 years

Education and/or Experience: Associates or higher degree from an accredited institution, college, or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
