Job Description

Responsible for the coordination of a variety of administrative functions, in compliance with corporate policies and procedures. These may include but not limited to data entry and associated paperwork, as assigned and under the direction of the Plant Manager. Will be directly involved with invoicing and accounts receivable. Candidate must be able to follow procedures and adhere to changes in a fast paced environment.

The receptionist position will also be tasked with minor customer service and sales duties. These duties consist of but not limited to direct and indirect communication with our current customers and/or potential customers regarding customer service relations. Sales Support duties will provide support to the sales team by performing various sales tasks. Duties may also include but not limit to communication with our sales staff, current customer, new customers, new projects, data entry, writing PO?s for new projects, and associated documentation.

1. Receptionist duties; answers phone, directs calls to appropriate individual, may screen calls, send/receive fax data sheets for or to appropriate individuals, take and relay accurate messages. Greets visitors and directs to appropriate individual or tactfully and diplomatically informs visitor that he/she must have an appointment. Verification of SQF with visitors.
2. Greets applicants, accepts applications, ensuring that all applications are properly completed. Appropriately informs applicant of current job opportunities and hiring procedures.
3. Prepare inventory tags for raw materials.
4. Maintain/order all office/plant supplies as required.
5. Prepares weekly/monthly/yearly mailings to corporate.
6. Maintain general files (shipping, quality, customers, vendors, etc.) for facility.
7. Matches purchase orders and packing slip to invoices for Manager?s approval.
8. Completes UPS records, prepares air-bills for Federal Express.
9. Prepares address labels, prepares and posts other documents as necessary; ensures outgoing mail is sent in a timely manner. Open and distribute incoming mail as requested.
10. Assists with confirmation of trucking.
11. Assists with customer order entries and order confirmation, back to customer.
12. Assist in data entries into in-house computer system.
13. Assist with employee incentive functions (luncheons, parties, etc.)
14. Assist in maintaining general supplies inventory levels for overall facility.
15. Help maintain customer sample area.
16. Helps maintain a clean main office area.
17. May assist others in the typing of memos, correspondence, etc.
18. Assist co-workers where needed.

Working hours: 7:00 AM - 5:00 PM (Various Shifts Available)

--10 key calculator.
--Computer with word processing, database and spreadsheet software.

--General office equipment.
--Should have valid driver's license.
--May be required to travel using whatever means the company considers appropriate.

High School

1-4 years

High school education or equivalent (GED). One semester of basic computer language, or one year of equivalent experience. Office knowledge, customer service and sales experience.
