Job Description

Must possess strong organizational and time management skills.
The Receptionist must be a team player with excellent problem-solving and multi-tasking capabilities.
This is an administrative role with additional responsibilities to service guests and maintain a clean and visually appealing reception area.

Responsibilities:
- Answer and distribute all incoming calls
- Check and distribute voicemail as needed
- Monitor and distribute faxes, print and deliver applications to the appropriate case manager
- Fulfill agent requests for Policy Owner Service forms
- Maintain the visitor log and ensure guest compliance
- Maintain a list of premium checks received
- Check daily to see if held checks need to be mailed to the designated carrier
- Ensure compliance with document retention policy: shred retained docs upon appropriate expiration
- Prepare all outgoing mail and FedEx packages
- Enter and scan Life, DI, LTC and annuity applications into Smart Office
- Scan delivery requirements and policies into Paperclip
- Check carrier websites daily for lapse notifications, notify appropriate individuals
- Order and maintain adequate office supplies
- Organize and order food and cards for employee birthday celebrations
- Clean and stock the break room, as needed: dishwasher, refrigerator, coffee, tea
- Clean the ash tray from front of building weekly and water potted plants inside and outside
- Record names & addresses of all gifts received so that thank you notes can be sent
- Assist the Administrator by updating the time off calendar, as needed
- Post updates to the website
- Create and implement on-hold messages and marketing blurbs for the VOIP phone system
- Administer and troubleshoot the company VOIP phone system
- Create and send office closure notifications to the General Advisor email list in Constant Contact
- Assist the Administrator by updating the weekly blast email, as needed
- Create and update technical documents and marketing collateral
- Additional duties to be performed as needed to assist the Administrator

Working hours: 8:00 AM - 5:00 PM

Education:
High School

Experience:
1-4 years

Qualifications:
2+ years experience
HS Diploma or GED, 2 or 4-year degree would be a plus.
Knowledge of the Insurance Industry is a plus.
