Job Description

The Receptionist/Finance Assistant will provide administrative support functions related to the accounting activities.

Responsibilities:
Responsible for answering incoming calls in a professional and timely manner. Directing calls to the correct person or assist the customer when possible.
Greet and assist visitors, informing the appropriate employee of their visitor or directing the visitor to the appropriate location. Visitors should not be unaccompanied in the building.
Process invoices, matching to purchase orders and/or acquire managerial approval and general ledger coding.
Process checks in a timely manner to receive the maximum vendor purchase discounts.
Distribute various spreadsheets/reports related to credit card statements to acquire receipts from employees for data input in order to pay credit cards.
Enter customer check information on cash receipts spreadsheet.
Record payments in Sage ensuring the proper invoices are applied within the customer account, upload to the bank, scan and pass on to A/R to complete the process.
Review customer accounts and make collections calls as needed. Make sure to note all correspondence in Sage.
Serve as back-up to process sales orders when needed.
Must be able to manage multiple projects simultaneously to meet deadlines. Display flexibility to meet changes in priorities. Work with a proactive, ownership approach and operate with a sense of urgency.
Complete various tasks as needed by management.
Performs other duties as assigned.

Working hours: 7:30 AM - 4:00 PM

Skills:
Two or more years of Accounts Payable experience preferred, preferably using Sage software.
-Thorough, organized and detail-orientated approach to work.
-Self-motivated, fast learner shows initiative and willing to seek out department needs and meet them.

Language Skills: Ability to read, analyze and interpret complex documents. Ability to respond effectively to sensitive inquiries or complaints. Ability to communicate with internal and external customers effectively.

Associate

Experience:
1-4 years

Education and/or Experience:
Two or more years of experience working in an administrative role.
Basic computer skills, experience in Word, Excel, Outlook, and ability to learn other applications.
Excellent 10-key skills.

Physical Demands:
Prolonged periods of sitting at a desk and working on a computer.
Must be able to lift 25 pounds at a time.
Ability to travel to other work facilities.
