Job Description

We are seeking a Sales Administrative Assistant for a manufacturing company here in Naples. The Sales Administrative Assistant mainly supports the Sales team.

Essential Functions:

1. Maintain Sales Department's electronic and paper filing system.
2. Process customer requests for quotes with timely follow ups utilizing CRM software.
3. Daily maintenance of CRM data.
4. Answer and return customer telephone calls and e-mails.
5. Follow up with customers on continuous basis after proposal submission.
6. Electronic file folder creation for new programs and opportunities.
7. Process and electronically file customer and Sales interoffice e-mails.
8. Extract data from ERP system, import and prepare budgets for processing.
9. Cross train in creating lower level budgets and costing data.
10. Ownership of the proposal approval process.
11. Assist in ISO compliance of the sales' team process and procedures.
12. Support organization with travel bookings, expense reports, and trade show preparations.
13. Perform Restricted Party Screening on all customers for new quotes and orders.
14. Coordination daily activities between sales staff and contracts department.
15. Cross train and perform duties in the absence of or temporary overloads of the Contracts Admin, such as: Process purchase orders, RMAs (returns), debit/credit memos, customer supplier forms, budget entries, and NDA's.
16. Export/Import admin tasks, Product Classifications and Restricted Party Screening on all Sales Orders.
17. Complete all required training's including but not limited to S.H.E (Safety, Health, and Environmental), Ethics, Anti-Slavery and Human Trafficking, Quality and all performance/product related trainings.
18. Adhere to ISO procedures and ISO compliance as required.

Working hours: 8am-5pm

Required/Preferred Knowledge and Skills:

1.-Exceptional analytical, communication and organization skills.
2.-Operate ERP programs for processing orders and returns.
3. Ability to multi-task and meet deadlines.
4. Computer skills (Windows Explorer, Excel, Word, Power Point, Outlook, Internet, One Note).
5. MS Outlook utilization of Rules, Quicksteps, Categories, Flagging, Scheduling, and Tasks.
6. Understand ISO system requirements and AS 9100 requirements and quality clauses.
7. CRM systems knowledge preferred (, Microsoft Dynamics).
8. Basic understanding of ITAR and EAR regulations (preferred but not required).
