Job Description

Often, this employee is the first employee a customer or agent comes in contact with. Therefore, the person in this position is responsible for setting the stage for total customer satisfaction. Maintains solid customer relationships by handling questions, concerns and orders with speed and professionalism. Coordinates and initiates departmental activities through Tigeraw Software. Prepares Sales Orders and Invoices for billable services and maintenance contracts in Sage Software. Operates the Technical Service Call Center and handles client service requests with a sense of urgency. Answers incoming calls and emails for the Technical Services Department, collecting as much information as possible over the phone to determine the nature of the problem, and then enters as detailed a description as possible of the problem into Tigerpaw. Coordinates with Sales Dept., Accounting Dept. Tech. Serv. Dept. and the Shipping Dept. on all new equipment Sales Orders or Demonstrations to insure the smooth delivery and installation of the ordered equipment and training. Follows prescribed communication schedule to insure total customer satisfaction. Maintains the Preventive Maintenance Contracts Maintains the PMC Expiration Log; sending new contract proposals to clients 30 days prior to the expiration of the current contract.
Handles new customer inquiries regarding PMC.
Sets up PMC for new equipment sales
1). Executes initial entry of information into JobTraq
2). Prepares and provides quotations.
3). Enters sales order upon acceptance in Peachtree Accounting Software
Prepares Sale Orders in Sage Accounting Software and prepares Invoices in Sage Accounting Software for maintenance contract and billable service.

This is a fulltime position that requires regular, reliable and punctual attendance.

Refers inquiries to appropriate persons as needed to help customers.

Qualifications:
Should have a good understanding of accounting principles and familiar with standard office equipment such as Microsoft Office. Ability to update spreadsheets. Ability to learn Peachtree or be familiar with accounting software as well as Job TraQ process software. 3-5 years of progressively Administrative or office support.
