We are seeking a detail-oriented and versatile Business Support and compliance Specialist to join our team. This multifaceted role will support both the office and sales functions, working closely with the Director of Financial Operations and the Director of Operations to ensure smooth execution of tasks. You will play a key role in maintaining compliance for commercial projects, assist in creating proposals and contracts, and work directly with clients on sales, from inquiry through project completion. Responsibilities:
Office Support & Compliance:
Provide administrative support to the Director of Financial Operations and Director of Operations, completing assigned tasks in a timely and efficient manner.
Assist in transcribing written commercial bids into official proposal formats for submission to General Contractors.
Manage and maintain compliance documents for commercial projects, ensuring all paperwork is up-to-date.
Coordinate with insurance companies to gather and maintain Certificates of Insurance (COIs) for commercial jobs.
Complete and submit DAS 140/142 forms for Prevailing Wage projects to ensure compliance with wage requirements.
Prepare Conditional and Unconditional Progress Releases for commercial jobs to ensure accurate financial tracking and compliance.
Track project orders, deliveries, and maintain up-to-date project data, including intake sheets, measurements, and contracts.
Sales Support:
Assist the estimating team by drafting detailed proposals for clients, ensuring accuracy and professionalism.
Work directly with clients, offering product guidance and support.
Answer phone calls and engage with customers in the showroom to provide exceptional customer service and help them with product inquiries.
Coordinate measurement and installation dates, ensuring projects run smoothly from start to finish.
Create and manage client contracts and profiles, ensuring all project data is properly documented.
Generate invoices for each job, track payments, and follow up on unpaid projects, ensuring timely collections.
Working hours: 8:00 AM - 5:00 PM
Skills:
Experience within the construction, glass, or related industries.
Proficiency with Monday.com or similar project management tools is a plus.
Education:
High School
Experience:
1-4 years
Qualifications:
Experience in office support, sales, or compliance roles.
Familiarity with compliance requirements for commercial projects, including DAS 140/142 forms and Prevailing Wage regulations.
Proficiency in QuickBooks for creating profiles, contracts, and invoices.
Experience with insurance coordination and maintaining Certificates of Insurance (COIs).
Strong organizational skills with an ability to manage multiple tasks simultaneously.
Excellent communication skills, both verbal and written.
Customer-focused with experience in a client-facing sales role.
