Our reputable real estate law firm is seeking a Front Desk Administrator to join our dynamic team. As the first point of contact for our clients, you will play a crucial role in ensuring smooth operations and delivering exceptional customer service. This is a direct hire role with a benefit package including PTO in year one, Health Insurance, 401K Retirement Plan, Dental, Vision, Disability and Life Insurance.
Greet clients and visitors in a warm and professional manner, providing excellent customer service and directing them to the appropriate personnel.
Answer incoming calls and route them to the appropriate individuals within the firm, ensuring efficient and timely communication.
Manage the front desk area, ensuring it is clean, organized, and presentable at all times.
Maintain appointment schedules and manage conference room bookings including set-up and clean-up of all meetings
Ordering and stocking office supplies and keeping kitchen clean and neat
Working hours: 8:00 AM - 5:00 PM
Ability to perform file management duties, including opening, organizing, and closing files in Qualia and PC law.
Coordinate and schedule meetings and conferences for the firm's professionals.
Maintain confidentiality of client information and adhere to legal and ethical standards.
Ability to be the point of contact for all facilities issues
Proven experience as a Front Desk Administrator or similar role in an office environment
Technical skills and some understanding in using Qualia and PC law for file management and closing procedures.
Excellent organizational and multitasking abilities, with exceptional attention to detail.
Exceptional customer service skills with the ability to communicate effectively and professionally.
Tech-savvy with proficiency in using Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
Excellent research and problem-solving skills to assist with gathering information and supporting legal professionals.
