Responsibilities of the Legal Assistant:
Primary Receptionist Responsibilities
Answers and returns telephone calls, directs and screens calls, answers basic questions about firm, takes messages and retrieves voicemails
Greets and screens visitors
Waters plants and keeps reception area, conference room and kitchen neat and clean
Makes copies and scans documents
Orders office supplies
Manages incoming and outgoing office snail mail, deliveries, and packages
Updates mailing lists
Sends thank-you and other cards and gifts
Assists other staff and performs general office tasks as requested
Primary Legal Administrative Assistant Responsibilities
Schedules paid strategy sessions, meetings with referral sources and owner, mediation organizational telephone calls, and mediations
Handles routine inquiries
Prepares and ensures clients execution of retainer agreements and receipt of payments
Prepares flat-fee invoices as directed by the owner or attorney(s)
Sends welcome and follow-up videos to clients
Prepares and sends closing letters
Creates, maintains and closes client and firm files
Handles conflict checks
Manages owner's email and maintains owner's calendar, including registering for events and scheduling of appointments and conference room as needed
Drafts and sends routine emails and correspondence
Formats and edits all documents as directed by paralegal(s), attorney(s) or owner
Updates spreadsheets tracking marketing activities and networking events; provides to owner on a monthly basis
Works with paralegal and owner to update Firm policies and procedures
Prepares attorney and paralegal for strategy sessions, appointments, depositions, court and other meetings with necessary documents
Primary Intake Specialist Responsibilities
Conducts intake calls with potential new clients and sells strategy sessions
Follows up with potential new clients who don't buy a strategy session during the intake call until they do or say no thank you
Follows up with clients who buy a strategy session to ensure they show up
Works with paralegal to update at least weekly potential new client spreadsheet that tracks all leads, intakes, strategy sessions, show/no-show, retention for further work and closed cases
Working hours: 9:00 AM - 5:00 PM
Skills:
Proficiency in QuickBooks preferred
Sales or customer service skills a plus
Experience with customer relationship management software and case management software a plus
Notary Public license a plus
College or university degree preferred
Education:
No Degree Required

1-4 years

Requirements of the Legal Assistant:
At least 1 year of experience working in a law firm required
Must be fully vaccinated against COVID-19 (reasonable accommodations will be provided to those who qualify for an exemption to vaccination)
Must be familiar with using Apple computers
Proficiency with Microsoft Office (Word, Excel, Outlook, and OneDrive) required
Excellent typing, computer and research skills required
Excellent oral and written communication skills required
Must be highly organized, detail-oriented, and able to meet deadlines
