- Draft correspondence, pleadings, contracts, and varied other documents.- Organize client conferences & attorney meetings.- Schedule hearings with judicial assistants (including contact with opposing counsel, court reporter, and preparing notice)- Schedule couriers, court reporters, expert witnesses & other special functions- Book travel for attorneys and calendar same- Prepare expense reports and check requests through accounting.- Maintain attorneys' calendars by planning and scheduling conferences, teleconferences, depositions.- Remind attorneys of daily calendar items and prepare each for meetings & hearings.- Represent attorneys by communicating and obtaining information; follow up on delegated assignments.- Maintain attorneys' Outlook email inbox and sent folders by associating work-related and firm-related email.- Case Screening / Origination- Prepare documentation to run an initial conflict check.- If conflict clears, prepare necessary documentation (including follow-through)Investigation- Assist in the process by scheduling meetings and telephone conferences on behalf of attorneys.- Perform LEXIS searches (as necessary)- Create and maintain a reliable and accurate filing system for electronic documents.- Locate process servers and/or Sheriff's Offices in all areas of the US for service of process.Pleadings- File pleadings with state and federal court through efiling- File all pleadings electronically with the necessary court system and assure the filed pleadings are copied to Worldox.Discovery- Prepare discovery documents and notices of filing, including interrogatories, requests for production, and admissions.- Calendar response dates for all discovery- Organize produced documents in Worldox.Pretrial- Prepare and proofread briefs and other pleadings.- Ensure that all documents are properly formatted and in compliance with court rules.- Coordinate preparation of exhibits and witness lists with paralegal.- Sometimes arrange travel and accommodations for attorneys.Additional responsibilities- Reconcile each attorney's monthly business file report.- Review and email or US Mail each attorney's monthly client billing statements- Receive and review ECF emails from courts.- Prepare PowerPoint presentations.- Maintain task lists for attorneys to ensure client guidelines and court-mandated deadlines are followed.- Regular and reliable attendance is an essential function for this role.
