Responsibilities:
Perform routine site walks and attend site meetings.
Organize and attend construction meetings, secure meeting rooms, generate and print agendas and sign in sheets, attach 6-week look-ahead, coordinate catering if necessary, and document and disperse minutes
Prepare correspondence for Owner, Architect, Engineers, Subcontractors, Suppliers, etc. Examples of
referenced correspondence include, but not limited to: Project schedule, memos, and request for information
(RFI), transmittals, submittals, commencement, delays, and substantial completion letters
Edit, scan, and electronically file PDF documents (plans, sketches, notes, schematics, etc.) for future access
Assist project managers with tracking the following items: RFI's, Submittal's, Issue Tracking, Change Orders, Bids, Scheduling
Assist in end of the month billings, assembling back up paperwork/photos from the subs and suppliers, and send out month end reminders to the subs
Take daily photographs, label, upload to server, and create a weekly field photo log
Create and update purchase orders to match Project Manager approved invoices
Create digital and hard copy deliverables such as O&M Manuals, Submittals, As-builts, and warranty documentation
Print and pick up job plans as requested
Track and organize pressure test logs
Update Project Manager paper plan sets with CBs
Ensure daily reports are submitted in timely manner, review daily, label, save, and report any discrepancies to Superintendent and/or Subcontractor for revisions
Process hot work permits, testing logs, safety checklists, and other misc. documentation
Assist with project close outs, archiving field project files for completed projects, ensuring orderly storage, and ship once job is completed
Working hours: 7:00 AM - 3:30 PM
Skills:
Report all issues to the site Superintendent and submit any required information to the client as directed
Prepare and send packages via Fed Ex, UPS, or USPS
Research best price, order, receive, stock, and distribute office supplies
Proactively determine equipment needs on site, coordinate deliveries, log packing slips
Schedule drug testing with facility that will come to site, schedule orientation once results are obtained
Clean and organize job trailer, keep all necessary forms in stock and available for whomever needs them such as safety checklists, expense reports, timecards, confined space permits, hot work permits, etc.
Order, maintain, program, and/or troubleshoot office equipment such as printer, copier, scanner
Complete daily production and progress reports and maintain project records
Update progression, completion, and notate any delays or irregularities.
Correspond with subcontractors and inspect work in progress to ensure that workmanship conforms to scope, quality, budget specifications, and adheres to construction schedules
Assist in bid submissions; includes compiling data/information, email correspondence, and follow up
Request inspections, complete inspection form, obtain signature, upload, and disperse
Organize and upload Superintendents receipts, complete expense reports, and reserve parking rentals
Process incident reports, fire drill plans, and keep contact list up to date

Qualifications:
An understanding of basic plumbing, electrical, and/or structural construction processes
