Spherion Vermont is seeking an Administrative Assistant to be responsible for green coffee contracts necessary for company operations, and act as a liaison between the purchasing department, the sales team and management to ensure timely delivery of properly specified coffee, and ensure delivery terms, certifications, brokers fees and other fees associated with the procurement of coffee are recorded and booked according to company policy.

Responsibilities:
Handle logistics data entry in a timely and accurate manner (including shipping instructions, shipping advice, arrival notices, delivery orders, and stripping reports).
Maintain accurate warehouse inventories by processing arrivals and deliveries in a timely manner.
Maintain department records and follow up on or expedite purchases when required.
Ensure all contract documentation is recorded and proactively request any missing paperwork or certifications.
Supply customers with requested certification documentation.
Complete third-party and intercompany orders and invoices.
Coordinate directly with warehouses and trucking companies regarding releases and shipments.
Support all internal and external audit requests.
Develop and ensure reporting is complete, accurate, and aligned with company policy.
Follow existing defined processes, proactively work to improve workflows, and make suggestions to management.
Maintain an organized filing system.
Prioritize customer success in all duties.
Immediately report employee safety, food safety, and/or quality concerns to a supervisor or manager.
Working hours: 8:00 AM - 5:00 PM
Skills:
Prior background or familiarity with logistics coordination, supply chain tracking, or intercompany invoicing.
Education & Experience: 5 years of professional work experience and a college degree are preferred.
