Responsibilities:
In this role, you’ll serve as a vital administrative engine for our team—managing digital workflows, managing calendar scheduling, drafting key reports and communications, and delivering excellent service to citizens and cross-departmental partners. Document Creation & Quality Control: Draft routine business correspondence and prepare, format, and proofread statistical, financial, and confidential reports. Ensure all outgoing communications are accurate, professional, and error-free.
Digital Office & Workflow Management: Organize day-to-day administrative tasks using modern office software and management tools. Maintain electronic filing systems, track action items, update logs, and manage team calendars and conference logistics.
Communication & Guest Relations: Serve as a primary point of contact for telephone calls, digital inquiries, and in-office visitors. Resolve citizen complaints or triage issues with tact, empathy, and poise under pressure.
Cross-Departmental Collaboration: Coordinate shared office operations and meetings across various departments to ensure seamless organizational support.
Audio & Meeting Notes: Produce written documents, meeting summaries, and transcripts from audio recordings or virtual/in-person meetings.
Working hours: 12:00 PM - 8:00 PM
Qualifications & What You Bring to the Table:
Experience: 1+ years of solid office administrative experience.
Tech Skills: Comfortable with Microsoft Office.
Professionalism: Representing a state agency requires clear communication and a sharp eye for detail.
Education: High School Diploma or equivalent required.
Requirements: Willingness to complete a background check and drug screen for state facility access.
Speed: Ability to type 35+ WPM accurately.
