This position is responsible for providing high-level administrative, organizational, and logistical support to the Applications and Installations Departments under limited supervision. Responsibilities:
Manages the flow of tools and materials using SAP, including creating notifications, quotations, and sales orders for virtual and field support.
Retrieves technical tooling from the cage for traveling engineers and maintains the organization of storage locations and project carts.
Monitors inventory accuracy within the system and performs regular record updates to reflect physical stock levels.
Works with the Installations Lead to ensure travel boxes are fully equipped; coordinates the shipment and return of travel boxes and fixtures for technicians at in-field installations.
Organizes and maintains the Applications Engineering and Installations master schedule, distributing it to the organization on a weekly basis.
Prepares engineering workbooks prior to proposal management kick-off meetings for projects and new machinery.
Schedules and attends Engineering kick-off and closing meetings, distributes minutes, and ensures all assigned tasks are tracked to completion.
Maintains the departmental visual management screens and internal digital sites with relevant weekly updates.
Requests standard tooling quotes from vendors and drafts necessary requisition forms.
Monitors the order and delivery progress of tools, managing overnight or expedited shipments to meet strict project deadlines.
Audits, codes, and approves expense reports for engineers and technicians, serving as a backup for other department coordinators as necessary.
Gathers data to develop charts and visualizations for Engineering KPIs.
Drafts letters of invitation and coordinates documentation, accommodations, and vehicles for inter-company loans of international engineers.
Coordinates departmental "Lunch and Learns" and performs clerical tasks for the Director of Applications as needed.
Working hours: 8:00 AM - 5:00 PM
Skills:
Associate degree or equivalent combination of education and experience preferred.
German language skills are a plus.

High School
Experience:
1-4 years
Qualifications:
High school diploma required
Minimum of 2 years of related experience in a manufacturing environment where customer service was essential to operations.
Direct experience with SAP is required.
Strong computer skills including Microsoft Outlook, Word, Excel, PowerPoint, and Adobe.
Ability to adapt and conform to shifting priorities and execute tasks under tight deadlines.
Works within approved budgets and develops cost-saving measures regarding tool orders and shipping.
Demonstrates high attention to detail when managing tool inventories and SAP data entry.
