As an Assistant Community Association Manager, you will work hand in hand with leadership to oversee community operations. Your core focus will span managing financial workflows such as accounts payable, receivables, and resident billing while coordinating governance records, board presentation decks, committee requests, and website communications. If you excel at problem solving, structured financial tracking, and delivering outstanding service to local residents, this is a fantastic opportunity to advance your career.
Responsibilities:
Financial & Accounting Management: Resolve resident billing inquiries daily, perform general accounts payable data entry, maintain AP files, and archive contract records. Coordinate with department leads to ensure timely invoice submissions, reconcile monthly billing statements, address unpaid accounts, and assist leadership with monthly variance reports.
Payment & Banking Operations: Monitor Accounts Receivable balances, oversee the collections pipeline, and log checks delivered via mail or in person. Process invoices via Strongroom, manage Lockbox transactions, issue direct debits, fulfill emergency check requests, and execute weekly bank deposits with accurate General Ledger coding.
Board & Committee Administration: Maintain Board of Directors motion/resolution tracking logs, record meeting minutes, prepare board PowerPoint decks, and manage annual representative elections across 14 non-HOA neighborhoods. Collect damage deposits and manage application processing, approval/denial letters, and tracking for Architectural Review Committee (ARC) requests.
Compliance & Communications: Track community violations and draft formal correspondence. Keep the community website updated with current documents, minutes, announcements, photos, and email blasts.
General Office Support: Answer incoming calls, respond to messages within established 24-hour standards, provide notary services as required, and perform other operational duties as assigned.

Hands on experience operating specialized HOA management or financial software systems

Qualifications:
Prior background as an Assistant Community Association Manager or in a closely related HOA administrative support role
Direct experience working with budgets, financial data, and accounts payable/receivable workflows
Strong proficiency in Microsoft Word, Excel, and Outlook
Excellent written and verbal communication abilities paired with strong conflict resolution techniques
Superior time management skills with the confidence to act independently and make sound decisions
Proven ability to collaborate effectively across a wide range of personnel, including staff, management, board members, and external vendors
