As an integral part of our team, you will handle sensitive administrative tasks ranging from complex scheduling to meticulous document management. We are looking for a "right-hand" professional-someone with the experience to anticipate needs and the humility to handle any task, large or small, with excellence.
Responsibilities:
Executive Scheduling: Manage complex calendars and coordinate high-level interviews and meetings.
Document Management: High-volume filing, sorting, and organization of physical and digital paperwork.
Professional Communication: Serve as a primary point of contact, ensuring all internal and external correspondence is handled with poise and clarity.
Office Operations: Execute general administrative duties with a "willingness to do anything requested" to keep operations running smoothly.
Working hours: 8:00 AM - 5:00 PM
Skills:
Advanced Microsoft Excel: Ability to use VLOOKUPs, Pivot Tables, and data formatting to organize complex spreadsheets.
Calendar Mastery: Experience managing "calendar Tetris"-handling conflicting interview times and time zone differences across Microsoft Outlook.
Information Architecture: The ability to not just "file" papers, but to create a logical system that makes documents easy to retrieve.
Digital & Physical Correspondence: Proficiency in drafting formal memos and managing sensitive physical mail.
Discretion & Confidentiality
Anticipatory Thinking: Not just waiting for instructions, but seeing that a meeting is running long and proactively adjusting the next two hours of the schedule.
