The Order Fulfillment Administrator provides essential sales, customer, and service support by managing the end-to-end order processing and fulfillment lifecycle. Acting as a key liaison between customers, Sales, and Operations, this role ensures the timely, accurate, and compliant shipment of medical devices and life-saving equipment. Responsibilities:
Order Processing: Manage customer orders from entry through fulfillment, including processing internal requests for service orders, evaluations, and product demonstrations.
Systems Management: Perform data entry and shipping transactions using ERP systems (such as Great Plains and Oracle).
Logistics Coordination: Manage equipment placement agreements, coordinate capital equipment sales demonstrations, track demo equipment, and coordinate pickups with freight forwarders.
Compliance & Export: Prepare and review domestic and international shipping documentation, including Commercial Invoices (CI), Certificates of Origin (COO), and Shipper?s Letters of Instruction (SLI).
Cross-Functional Liaison: Partner with Operations to expedite parts or materials and act as a bridge between internal resources and customers to ensure on-time delivery.
Customer Support: Serve as the primary point of contact for order inquiries, resolving issues such as shipping discrepancies, out-of-box failures, or customer complaints.
Safety Standards: Handle and document Dangerous Goods shipments, specifically focusing on lithium battery regulations.
Working hours: 7:00 AM - 3:30 PM
Skills:
System Specifics: Previous experience with Great Plains or Oracle software.
Problem Solving: A self-starter mindset with the ability to identify issues and escalate them appropriately before they impact the customer.
Adaptability: Proven ability to work both independently and collaboratively within a team-oriented environment.

Qualifications:
Industry Experience: 3 years of experience in sales order administration or order fulfillment.
Export Expertise: 2 years of experience specifically in preparing export documentation.
Technical Proficiency: Intermediate to advanced skills in Microsoft Excel and experience using CRM or Manufacturing databases.
Regulatory Readiness: Knowledge of Hazardous Materials/Dangerous Goods shipments and the ability to maintain certification for Lithium battery shipping.
Communication: Strong written and verbal communication skills with a proven ability to interact professionally with frustrated or upset customers.
Organization: Excellent attention to detail, accuracy, and the ability to multitask in a fast-paced environment.
