The Administrative Assistant / Purchasing Support role provides comprehensive administrative assistance to ensure smooth daily operations while also supporting the purchasing function. This position is responsible for managing office tasks, coordinating communication, maintaining records, and assisting with procurement activities such as vendor communication, order tracking, and inventory coordination.
Responsibilities:
Administrative Support
- Manage daily office operations, including answering phones, handling mail, and maintaining office supplies.
- Prepare, format, and distribute documents such as correspondence, reports, meeting minutes, and presentations.
- Maintain filing systems (digital and physical) to ensure records remain organized and accessible.
- Assist with onboarding tasks for new employees, including paperwork and workspace preparation.
- Provide support to management and various departments as needed.
Purchasing Support
- Assist with purchase order creation, processing, and follow up.
- Communicate with vendors to request quotes, confirm pricing, and track order status.
- Monitor inventory levels and coordinate with departments to determine purchasing needs.
- Maintain purchasing records, including vendor files, purchase orders, and receipts.
- Support cost saving initiatives by researching competitive pricing and alternative suppliers.
- Assist in resolving order discrepancies, damaged goods, or invoicing issues.
Working hours: 8:00 AM - 5:00 PM

Work Environment:

Experience:
1-4 years
Qualifications:
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- 2+ years of administrative experience; purchasing experience required.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with purchasing or ERP systems.
- Great problem-solving abilities and a proactive mindset.
