We are seeking a reliable, detail-oriented Warehouse Administrative Assistant to join a logistics team. Operating directly out of the dock office inside a fast-paced cold storage facility, you will serve as the vital link between our truck drivers and internal tracking systems. Your primary responsibility will be to check in arriving drivers, process inbound and outbound transport paperwork, log shipment details, and close out operational reports.

Responsibilities:
Driver Check-In: Greet arriving transport drivers at the dock office window, verify identity, and collect incoming bills of lading (BOL) and shipping manifests.
Data Entry & Processing: Accurately input shipment data, product tracking numbers, and driver details into the company computer system.
Report Management: Compile, verify, and close out daily operational and inventory reports using specialized software and Microsoft Excel.
Document Control: Print shipping labels, cross-reference paperwork for accuracy, and organize physical and digital files for record-keeping.
Note-Taking & Communication: Keep meticulous, detailed notes regarding shift handovers, late arrivals, or paperwork discrepancies to hand off to management.
Working hours: 3:00 AM - 1:30 PM
Skills:
Basic experience using Microsoft Excel for entering data or tracking records.
Prior experience in a clerical, administrative, or data-entry focused role.
Experience working in or around warehouse, distribution, cold chain, or manufacturing environments.

Shift Availability: Must be able to strictly adhere to a Tuesday?Saturday early morning schedule (3:00 AM start times on Thursday/Saturday; 5:00 AM start times on Tuesday/Wednesday/Friday).
Environment Comfort: Ability to work comfortably in a dock office environment adjacent to cold storage/refrigerated zones.
Computer Proficiency: Confident navigating basic computer software, utilizing databases, and typing efficiently.
Attention to Detail: Strong organizational and note-taking skills to prevent data mismatches.
Reliability: Proven track record of exceptional attendance and punctuality for early shifts, supported by reliable transportation.
