Responsibilities:
Office - Administrative Management
Answers, screens, and directs incoming calls using a multiline phone and voice mail system.
Greets, directs and escorts internal and external guests, donors, and volunteers, fielding questions and inquiries.
Manages all office equipment, contracts, services and repairs, including ability to work with and maintain equipment; copier, printer, postage meter, telephone system.
Coordinates and maintains shared meeting space calendars.
Assists with event planning and implementation as needed.
Maintains all common areas including shared kitchen. Ordering and organizing drinks & snacks. Run dishwasher and handle cleanup after office events.
Tracks, organizes, and maintains inventory of office supplies and branded materials, orders from multiple vendors.
Manages indoor and outdoor building maintenance calls and inspections.
Coordinates and supports conference center meetings for internal and external groups. Including coordinating and scheduling meetings, obtaining agreements, greeting attendees, assist with technology in the facility, room setup, and catering support.
Sorts and distributes incoming mail as well as prepares outgoing mail and other correspondence.
Coordinates larger deliveries and supports donation drives led by organization.
Helps communicate with vendors to obtain bids and quotes for services to be provided.
Provides Board support to CEO including agenda preparation and supporting materials, distribution of materials, board meeting arrangements, draft meeting minutes for review by CEO.
Manages internal and external recognitions by tracking dates and milestones.
Finance Support
Maintains a filing system for financial documents, including organizing and filing bank deposits, vendor invoices, and donor pledge forms, and resetting the files annually.
Manages document retention, including preparing archived materials for shredding.
Collects employee credit card receipts, ensures complete documentation, follows up on missing items, and maintains monthly spreadsheet with detailed transaction records.
Checks staff timecards for completion and accuracy, follows up on missing information, and updates PTO balances based on used and available leave.
Assists with mailings such as newsletters, appeals, invoices, thank-you letters, and vendor payments, preparing mail-merge documents in MS Word.
Reviews local newspapers for company and donor mentions and compiles obituary listings relevant to donor record maintenance.

Skills:
Previous executive Administrative Assistant experience preferred.

Minimum Qualifications
High school graduate or its equivalent; Associate degree preferred.
Two years of previous office or front desk experience minimum.
Demonstrated proficiency with Microsoft office products (specifically Outlook, Word, Excel, PowerPoint and MS Teams) is required. A professional exam is required.
Work requires typing, editing, and proofing general business correspondence and preparing reports.
Ability to lift 20 pounds is required.
Extended viewing of computer monitor.
Position requires excellent organizational, and strong interpersonal and communication skills. Ability to present in a professional office manner and maintain high level of confidentiality when working with donor information.
