Long-term Temporary need with potential Temp-to-Hire opportunity.
Provide Administrative support for the Fish and Wildlife Unit and Faculty. Communication with university, state, and federal cooperators, assisting with grant management and reporting, maintaining unit records.
Responsibilities:
ESSENTIAL FUNCTIONS

1. Communication: Primary point of contact between the USGS, state agency representatives, and the University. Serve as central information resource and advise Unit Leader/Assistant Unit Leader, unit students, and technicians on USGS and University policies and procedures. Maintains USGS Vermont Unit website and ensures it is current.
2. Financial: Ensure graduate students, post-doctoral researchers and technicians are hired and ensure salary distribution are correct; monitor employee timesheets to ensure payments are processed in a timely manner while following University guidelines; Help unit scientists navigate the logistics of maintaining spending compliance for University issued credit cards; Maintain and review the monthly and annual state and federal Unit budgets; Work in collaboration with the Rubenstein Business Service Center on the creation of requisitions and PO requests.; Assist Unit scientists with preparation of federal and university travel authorizations and reimbursements
3. Grant management: Work in collaboration with unit scientists and sponsored programs (SPA 2.0) to prepare and submit grant proposals, including completing forms, developing budgets, and other administrative tasks related to proposal submission; Assist Principal Investigators with project management and compliance for grants and projects; Review monthly project (grant) budget reports and reconcile irregularities.
4. Records and reporting: Oversee records and filing systems. Compile and maintain productivity and safety records for Unit scientists, graduate students, postdocs and technicians. Assist in developing Unit safety policies/procedures and coordinate with Federal and University guidelines for Unit personnel, students and temporary employees. Maintain Unit personnel files on federal staff, cooperators, and students. Maintain inventory for property purchased by Unit and University. Process USGS monthly vehicle reports and schedule vehicle maintenance. Coordinate repair and maintenance of USGS fleet vehicles and vessels as needed. Arrange travel for Unit Leader and Assistant Unit Leader. Process travel vouchers in web-based reporting system.
5. Training: Attend University training workshops and USGS webinars/conferences to keep up-to-date with new regulations associated with job responsibilities. Attend Rubenstein School staff meetings and retreats.
Working hours: 8:00 AM - 4:30 PM

MINIMUM QUALIFICATIONS Education & Experience: Associate???s degree with one to three years of related experience, working knowledge of software applications used to support office functions, and familiarity with Internet resources required.
